Organizations: group contacts by company

An organization is a named group that represents a company or client account in your workspace. Organizations group one or more contacts so you can manage everyone associated with a particular business in one place.

An organization is a named company (or team, or client account) that groups several of your contacts under one roof. Instead of treating "Maria from Acme" and "Tom from Acme" as two unrelated people, you have one Acme with two people in it, one place to see everything you've shared with Acme, and, on the portal, a shared view for the Acme team.

Organizations is a Pro feature. Free workspaces see the tab, but opening it shows the upgrade dialog, and every organization write is refused by the server. If a workspace downgrades, its existing organizations are kept and become read-only: you can still view them and remove things, but not create or change them.

What an Organization contains

Each organization record includes:

  • Organization name

  • Logo (auto-resolved from the contact's email domain, or manually set)

  • A Suspended badge, when applicable

  • A list of member contacts, each with a role

  • Transfer, request, file and brand history associated with the organization

Organizations live in the Organizations tab inside your Contacts section.

How Organizations are created

Three ways, all Pro:

Organizations tab → + Organization. Enter the organization name, the owner's name and the owner's email. This creates the organization and its first contact (or reuses the contact if that email already exists), as the Owner. A logo is fetched from the email's domain when it isn't a free email provider (Gmail and similar).

Contacts → + Contact → tick "Business contact?". Enter an organization name. If an organization with that name already exists (case-insensitive), the contact joins it; otherwise a new one is created with the contact as its Owner.

Add a member to an existing organization also creates the link — see the Members section below.

Hidden "auto organizations": older sends created a one-person organization for each recipient automatically. Those are legacy bookkeeping rows, not real companies, so the Organizations page hides them. Organizations are no longer created automatically from a plain transfer — only through the ways above.

Organization members

An organization can have multiple members. Each member is a contact in your workspace, and each has a role within that organization — starting with Owner (the first person) — which is separate from any workspace role. Adding a member to an organization does not change their workspace permissions. You can add roles beyond Owner (a name, and whether the role can invite members). A role with "invite members" can add new members; other roles can't. Only the Owner can edit organization details, manage roles, or delete the organization from the portal. The workspace owner, or a team member with add/edit contacts permission, isn't limited by these roles and can manage any organization.

Organization status

Organizations can be suspended. Manage → Suspend turns off the organization's portal for all its members: each one sees a "suspended" page instead of their files, and is emailed about it. Reactivate restores access and emails them again. Nothing is deleted — a suspended organization shows a red Suspended badge.

What you can do with Organizations

From the Organizations tab you can:

  • Search organizations by name

  • Tag a type: Regular, Enterprise, Agency, Reseller, SaaS, NGO, Startup, Incubator or Government

  • Mark an organization as verified manually

  • Export selected organizations as a CSV file

  • Delete organizations (deleting an organization does not delete its member contacts — they remain in your Contacts list)
