Every contact who has portal access can upload files to your workspace from the client portal. The Storage limit decides how much each one may upload in total. It protects your workspace storage: a client can't fill it by accident, and you can give a trusted partner more room than a one-off guest.
The client portal, and so this setting, is a Pro feature.
1. How it works
The limit is per contact. Every contact has their own number, 5 GB by default.
It only counts what that contact uploaded themselves, in total, over time. Files you send to them never count against it.
Their uploads go into one private folder in your Library, named "Their Name (uploads)", which is created automatically the first time they open the portal. You can open it from Files.
When an upload would take them over their limit, it's refused: "This upload is over your storage limit." Nothing is half uploaded — the whole batch they picked is checked together.
Files uploaded by a contact are normal library files, so they also count toward your workspace's storage. A contact can never upload more than the room left in your workspace, even if their own limit is higher. The room a contact really has is the smaller of the two: their remaining allowance and your workspace's remaining storage.
The contact sees the limit in the portal's Home → Storage card: how much they've used, the percentage, and how much is available.
Deleting one of their uploads (from your Library) frees that space for them. Files in the Bin are not counted.
2. How to set it for a contact
Open Contacts in the sidebar.
Find the contact. Portal access must be on for them.
Open the row's three-dot menu → Storage limit.
The dialog shows the current limit and how much they've uploaded so far.
Type the new amount, choose GB or TB, then Save. The contact's portal uses the new limit straight away.
A few notes:
Storage limit only appears in the menu for contacts whose Portal access is on. A contact without portal access has no portal uploads, so there's nothing to limit. The value you set is kept if you turn access off and on again.
The number must be greater than zero. There's no upper limit in the box, but your workspace's own storage is the real ceiling.
You can set a limit lower than what they've already uploaded. Their existing files stay, but they can't upload anything new until you raise the limit or free space.
Who can do it: the workspace owner, or a team member whose role allows adding and editing contacts.
What the contact sees when they're out of room
On the portal, the Upload buttons switch to an out-of-storage message instead of opening the file picker, and the Storage card shows 0 available. This is also enforced on the server, so the limit can't be bypassed.
3. Contacts in an organization
There is no organization-wide limit or shared pool. Each person in an organization keeps their own limit, so one colleague can't use up another's room.
To give a whole organization more space:
Open Contacts and find the organization's people (the Organization column shows the company).
Set Storage limit for each person who needs more. It's a short job per person — there's no "apply to everyone" option.
A few things follow from this:
A new member starts at 5 GB, whatever the other members have.
Members of one organization see the same shared items, but each one's Storage card shows only their own uploads.
Organization owners can manage their team from the portal (add members, edit details), but can't change anyone's storage limit — that's only done from the workspace side.
Contacts you haven't given portal access to can't upload at all, so for them the limit doesn't matter.
4. Choosing a number
Situation | Suggestion |
Client who only returns signed documents | Leave the 5 GB default |
Client who sends photos or design files regularly | 50 to 200 GB |
Production partner sending video | Raise it, and check your workspace has the room |
A contact who shouldn't be able to upload | Turn Portal access off instead (the limit only matters while access is on) |
Check your workspace storage (Billing, or the bar at the bottom of the sidebar) before giving several contacts large limits — the contacts' limits can add up to more than your plan can hold if they all use them.
5. Frequently asked
Does the limit include files I send them? No. Only files they uploaded.
Does it include versions or the Bin? It counts their live files. Files you move to the Bin stop counting.
Can I give everyone the same limit at once? Not from the screen today. The default for new contacts is 5 GB; you change others one by one.
Does the limit stop them downloading or viewing? No. It only limits uploads.
They hit the limit. What do I do? Raise it (Contacts → row menu → Storage limit), or delete some of their uploads from their folder in your Library, or ask them to stop uploading.
