How Tarkle billing works

Tarkle gives you access to three powerful apps: Send, Portal, and Crew—under a single subscription. Here's everything you need to know about how billing works.

One subscription, three apps

When you subscribe to Tarkle, you get access to all three apps at the tier you choose. You don't need separate subscriptions for each app.


What you get with one Tarkle plan:

  • Tarkle Send: Share files, track delivery, and collect documents

  • Tarkle Portal: Deliver client work and manage projects in a branded portal

  • Tarkle Crew: Manage contractors, sign contracts, and track invoices (invite-only during private beta)

Choose Starter or Pro, and unlock all three apps at that tier level.


Tarkle core features

Every Tarkle subscription includes core features that work across all three apps:


Team seats

  • Control who on your team can access Tarkle to help you manage your business

  • Starter: 5 seats | Pro: 10 seats

  • Team seats are enforced per app, but your limit applies to each app independently

  • Example: If you're on Pro with 10 seats, you have 10 seats available in Send, 10 seats available in Portal, and 10 seats available in Crew. Your team members can be invited to one, two, or all three apps depending on what they need to do. A team seat in Send doesn't "use up" a seat in Portal or Crew.

  • Team seats are for people who help you manage your business: partners, owners, existing employees, or authorized collaborators who need workspace access

  • Note: Active contractors (in Crew) are separate from team seats. See Crew features below for details.

Profiles (Unlimited)

  • Store unlimited contacts, clients, and contractors—no limit on how many profiles you create

  • A "profile" means different things in each app based on who you work with:

    • Send: Recipients, contacts, organizations, and clients you send, share, or transmit files, video, and audio content to. Profiles in Send are people or organizations receiving files and content from you—either for free or as paid content. They can purchase access to your files or content directly.

    • Portal: Clients, client teams, and organizations buying your services, submitting projects, and paying you. Profiles in Portal are people or businesses paying you for your services.

    • Crew: Contractors (individuals or businesses) you hire to perform tasks, projects, or duties on a predetermined scope and terms. Profiles in Crew are people and businesses you pay for work.

White-label Custom Branding

  • Add your logo, colors, and favicon to your workspace branding

  • Your brand appears across all the pages your recipients, clients, and contractors see—not Tarkle's

  • How it works by app:

    • Send: When you add your branding (logo, colors, favicon) to your Send workspace, recipients receiving files from you see your brand on the file delivery page, download experience, and all notifications—not Tarkle's.

    • Portal: When you add your branding to your Portal workspace, clients buying services from you see your brand on the client portal, project pages, and approval workflows—not Tarkle's.

    • Crew: When you add your branding to your Crew workspace, contractors signing contracts with you see your brand on the contract pages, workspace, and all communications—not Tarkle's.

Custom Domains and Email

  • Use your own domain for each workspace to deliver a branded experience

  • How it works by app:

    • Send: Add your custom domain to your Send workspace so recipients receiving files from you view and download them from your domain (e.g., files.acme.com) instead of a generic Tarkle domain.

    • Portal: Add your custom domain to your Portal workspace so clients buying services from you access their portal on your domain (commonly app.acme.com or clients.acme.com) instead of a generic Tarkle domain.

    • Crew: Add your custom domain to your Crew workspace so contractors signing contracts with you sign and access their workspace on your domain (e.g., contractors.acme.com) instead of a generic Tarkle domain.

  • Send notifications from your email domain (e.g., notifications@acme.com) so all communications appear to come from your business, not Tarkle

Team Roles and Permissions (Pro only)

  • Control what each team member can do across all apps

  • Set permissions for Send, Portal, and Crew in one place

Tarkle Send features

Starter:

  • 1 TB storage

  • 50 GB per transfer

  • Unlimited transfers and requests

  • Password and email protection

  • Expiration and access revocation

  • Sell files via Stripe

  • Embed transfers anywhere

Pro:

  • 3 TB storage

  • 100 GB per transfer

  • Activity tracking (see who accessed what and when)

  • View-only transfers (recipients can't download)

  • Burn after read (files disappear after first access)

  • Team folders

  • Zapier and webhooks

  • 90-day file recovery

  • Video and audio pages

Tarkle Portal features

Starter:

  • 500 GB extra storage (used in Portal to help you and your clients share assets in chat directly)

  • Basic client portal

  • Projects and tasks

  • Deliverables and approvals

  • Smart intake forms

  • Payments via Stripe (one-time or subscription)

Pro:

  • 1 TB extra storage (used in Portal to help you and your clients share assets in chat directly)

  • Full client portal with advanced features

  • Email intake forms (clients email you project details)

  • AI assistant for context and insights

  • Slack, Trello, and Asana integration

  • Copyright transfer and audit trail

  • SEO-optimized review collection

Crew features (Invite-only during private beta)

Starter:

  • 10 active contractors

  • Unlimited contractor profiles

  • Contract creation and e-signing

  • Verification and compliance checks

  • Invoice creation and approval

Pro:

  • 20 active contractors

  • Public and private contractor profiles

  • Team roles and permissions

Important: Active contractors are different from team seats. Active contractors are individuals or businesses you hire to perform work (whether one-time, weekly, monthly, or yearly). Your 10 or 20 active contractor limit refers to how many contractors can have live contracts in your workspace at any given time. Active contractors can be individuals or business entities. If you grant an active contractor a team seat in your Crew workspace so they can collaborate directly with your team, they count toward both your active contractor limit and your team seat limit.


Getting started with your subscription

Step 1: Start your free trial

You can try any app (Send, Portal, or Crew) with a 7-day free trial. No credit card required.


Step 2: Choose your plan

When your trial ends, choose Starter or Pro. Both give you access to all three apps.


Step 3: Upgrade to a paid plan

When your trial ends, go to /billing in your workspace and choose your plan and billing interval.


How to upgrade:

  1. Go to /billing in your workspace

  2. Select your billing interval: Monthly or Yearly (yearly gives you two months free)

  3. Click Upgrade to [Plan Name]

  4. You're redirected to the Tarkle Stripe portal to complete the subscription

  5. The upgrade takes effect immediately after payment

Your workspace subscription is unified across Send, Portal, and Crew. You don't need separate subscriptions for each app.


Note on workspace sync: If you start a trial in one app (e.g., Send) and later sign up for another app (e.g., Portal) using the same email, your subscription will be automatically detected and synced within 24 hours. Your team and workspace data are unified across all apps in your billing account.


Billing and invoices

What you're charged for

  • One subscription per workspace — covers Send, Portal, and Crew

  • Starter: $29/month

  • Pro: $59/month

Billing details

  • Charged monthly on your renewal date

  • Invoices sent to your registered email

  • Cancel anytime—no long-term contracts

Changing your plan

Upgrade or downgrade your plan in Settings > Billing. Changes take effect immediately.


Private beta and Tarkle Crew

Tarkle Crew is currently in private beta. This means:

  • If you have an active Tarkle subscription (Starter or Pro), you have access to Crew

  • You don't pay extra for Crew—it's included in your plan

  • If you don't have a Tarkle subscription yet, you can request an invite to Crew

  • Once Crew launches publicly, it will be available to all subscribers


Trial and first payment guarantee

Your free trial gives you full access for 7 days

  • No credit card required to start

  • You get full access to Pro-level features during the trial

  • When your trial ends, your workspace moves to an Expired status and you lose access until you upgrade

  • Expired workspaces are deleted after 30 days

7-day money-back guarantee on your first payment

  • If you upgrade to a paid plan and decide Tarkle isn't the right fit, you have 7 days to request a full refund

  • Subsequent renewals (monthly or annual) are non-refundable

  • This applies only to your first payment; you have already experienced the product during your free trial

Common questions

Do I need separate subscriptions for Send, Portal, and Crew? No. One Tarkle subscription covers all three apps at your chosen tier.


What's a "profile" and how are they different across apps? A profile means different things in each app. Profiles are unlimited in all three apps:

  • Send: Recipients, contacts, and organizations you send files and content to (paid or free)

  • Portal: Clients and organizations buying your services and submitting projects

  • Crew: Contractors (individuals or businesses) you hire to perform work You can create unlimited profiles in each app with no restrictions.

Can I add more team seats after I subscribe? Yes. Your plan includes a fixed number of team seats per app (5 for Starter, 10 for Pro). Team seats are enforced independently in each app, so you get 5 (or 10) seats in Send, 5 (or 10) seats in Portal, and 5 (or 10) seats in Crew. You can purchase additional seat packs of 5 seats at $10 per pack per app during your billing period. There's no limit on how many packs you can add. Go to /billing to purchase additional seats.


What's the difference between team seats and active contractors? Team seats are for people who help you manage your business (partners, owners, employees, authorized collaborators). Active contractors (in Crew) are individuals or businesses you hire to perform work on a specific scope and terms. Most contractors only need a profile in your Crew workspace; they don't need team access. However, if a contractor also needs team access to collaborate with your team, they can be granted a team seat and would count toward both your active contractor limit and your team seat limit.


What if I only want to use Send, not Portal or Crew? That's fine. Your subscription covers all three, but you only need to use what you need. You don't pay extra for apps you don't use.


Can I white-label all three apps with my brand? Yes. White-label branding is a core feature available in both Starter and Pro. All three apps will show your logo, colors, and favicon.


How do custom domains work? You can set up a custom domain for each app so your recipients, clients, and contractors see your domain instead of a generic Tarkle domain:

  • Send: Recipients view and download files from your custom domain (e.g., files.acme.com)

  • Portal: Clients access the portal from your custom domain (e.g., app.acme.com or clients.acme.com)

  • Crew: Contractors sign contracts and access their workspace from your custom domain (e.g., contractors.acme.com) Your hosting provider handles the DNS setup; Tarkle handles the SSL certificate and delivery.

What happens to Crew during private beta if I don't have a subscription? Crew is invite-only during private beta. If you don't have a Tarkle subscription, you can request early access.


Can I use Crew without a subscription? No. You need an active Tarkle subscription (Starter or Pro) to access Crew. It's included in both tiers.


What if I'm on Starter and want Pro features? Upgrade to Pro in Settings > Billing. The change is immediate, and you'll be charged the prorated difference.
