How to limit a file request or transfer to one client organization
Limit a file request or a transfer to one client organization, and see who can open it.
When several clients use one workspace, you can limit a file request or a transfer so that only one client organization can open it. A client organization is a group of contacts that belong to the same company. Client organizations are available on Pro and Agency, and Agency includes everything in Pro. See pricing for the plans.
Before you start
The client organization and its people must exist before you can choose it.
Open Contacts, open the Organizations tab and create the organization. Enter the organization name, the owner's name and the owner's email.
For each person who should open the request, open the actions menu on their contact page and choose Enable portal access.
When you turn portal access on for the first time, Tarkle emails the contact an invite to your client portal. The client portal is included on Pro and Agency, as explained in Which plan includes the client portal?
Limit a file request to one client organization
A new file request is created as a public link, so you limit it after it exists. To create one, see File requests in Tarkle: how to collect files from clients. Then open Requests and open the file request you want to limit, so you can edit it.
Under Access settings, click Specific organization. The other card, Public link, lets anyone with the link open the request.
In Organization, choose the client organization. The field takes one organization.
Save your changes. Tarkle shows Request updated and returns you to your Requests list.
If you choose Specific organization and save without an organization, Tarkle shows "Please select an organization."
Limit a transfer to one client organization
A transfer is limited in the transfer dialog. Its title shows the name of the file or folder you are sending.
Open the transfer dialog for the file or folder.
Under Access settings, open the menu and choose Private.
In Organization, choose the client organization.
Finish the dialog to create the transfer. Tarkle shows Transfer created and the Transfer link, and it confirms that the download email has been sent to the organization you chose.
To add a password to a transfer instead, see How to password protect and set an expiry on a file transfer.
Share a file or folder from your library with one client organization
The Share dialog of a file or folder in your library can also limit it to organizations.
Open the Share dialog for the file or folder.
Under General access, choose Private.
Open Select organizations and tick one or more organizations.
Click Done.
The organizations you chose are listed under Organizations with access.
Who can open it
A limited file request opens for the members of the chosen organization, but only once they are signed in. Your workspace owner and your team members can open it too. Anyone else sees "You don't have access to view this page." Below it, Tarkle shows "Contact the workspace owner for more details." A client must be signed in to open the request, so ask them to use the portal invite that Tarkle emails when you turn portal access on.
What happens next
After you save a file request, Tarkle returns you to your Requests list. After you create a transfer, copy the Transfer link from the dialog and send it to your client.
