Roles and permissions in Tarkle Send

Roles in Tarkle Send let you control exactly what each team member can do inside your workspace. You can use system roles or create your own. This article explains how the permission system works and what each permission controls.

Roles give you granular control over what each team member can see and do in your workspace. Rather than giving all members full access by default, you define a role with a specific set of permissions and assign it when inviting or editing a member.

Roles and permissions are available to workspace owners on both the Send and Send Pro plans.


System roles

When you open the Roles tab at /team, any roles marked as system roles appear at the top of the list. System roles are pre-configured by Tarkle Send as a starting point. They cannot be deleted, but they give you a baseline to work from without having to build roles from scratch.


Custom roles

You can create as many custom roles as you need. Each role gets a name and a precise set of permissions chosen from the categories below. Custom roles are useful when your team has distinct functions — for example, a role for someone who can only send files but never touch settings, or a role for an account manager who can view contacts but not delete them.

To create a role, go to /team, click the Roles tab, and click Add role.


Permission categories

Every custom role is built from the following permission groups:


File management

  • Create / share files

  • Manage / edit files

  • Delete files

Client management

  • View contacts

  • Add, edit, and manage contacts

  • Delete contacts

Workspace settings

  • View settings

  • Add / Edit / Delete settings

  • View billing and invoices

Team

  • View team

  • Add / Edit / Delete team members and roles

Each permission is a checkbox. You turn on only the ones that apply to that role. A team member assigned a role with no billing permission will never see the billing section of the workspace. A member without team permissions cannot invite or remove anyone.


Protecting your workspace

Custom roles are the primary tool for protecting sensitive workspace operations. If you have a contractor who only needs to send files to clients, you create a role with only the Create / share permission turned on. They cannot access settings, billing, contacts, or team management. This keeps core workspace configuration in the hands of the people who should have it.
