How to rename several files at once

Smart rename gives a batch of files in your library clear names in one run. You see every new name before anything changes, so you stay in control of the result. Use it when uploads arrive as IMG_4821.jpg, scan-00381920.pdf or a string of random characters.

Steps

  1. Open Files. Go to the list of files in your workspace.

  2. Select the files. Tick the checkbox next to each file, up to 200 files per run.

  3. Click Smart rename. A Smart rename dialog opens and builds a preview.

  4. Review the new names. Each row shows the old name crossed out and the proposed name below it.

  5. Untick any file you want to leave alone. Every row is ticked by default.

  6. Click Rename N files. N is the number of ticked rows.

Nothing changes until you click Rename N files. Click Cancel to close the dialog without changing anything. After you rename, a message confirms how many files were renamed.

What the new names look like

Rule-based names follow this pattern: your workspace name, a short label taken from the old name, and a date and time in UTC, for example Acme Studio - Brand guidelines - 2025-03-14 0930 UTC.pdf. The file extension stays the same. If nothing meaningful is left of the old name, the label is the type of file, such as PDF, Photo or Video.

Smart rename proposes a new name only for names that look machine-made or unclear, such as very long names, names with long runs of digits, or generic names like "IMG" or "screenshot". If a name already reads well, the file is left out of the preview. When none of the selected files need a new name, the dialog says they already have clear names.

If a new name is already used in the same folder, Tarkle adds a number before the extension, such as " 2".

Improve with AI

Tick Improve with AI in the dialog to have AI write the labels for files whose names were flagged as unclear. The preview reloads with the new labels, and you review them the same way. Improve with AI is available on Pro and Agency. On other plans the checkbox is disabled. See pricing for the plans.

The rule-based names work on every plan.

Good to know

  • 200 files per run. If you select more than 200 files, only the first 200 are included. Run Smart rename again for the rest.

  • Original names are kept. Only the name changes. Tarkle saves the first original name of each file.

  • Folders are ignored. If you tick folders along with files, only the files are renamed. If you tick only folders, the Smart rename button does not appear.

  • Who can use it. The workspace owner, and team members whose role can edit files.

  • Activity log. Each rename is recorded in the activity log with the previous name.

What happens next

The dialog closes, your selection clears and the Files list refreshes with the new names.
