How do download approval and access requests work?

Require approval to download in a brand's Settings tab, then give access or revoke each request in its Requests tab.

Download approval lets you decide who can download from a brand page. When it is on, visitors send an access request, and you give access or reject it from the brand's Requests tab. This article covers how to turn it on, what the visitor receives, and how to handle each request.

Turn on download approval

Open the brand from Brands, then open the More actions menu and choose Edit. In the brand editor, open the Settings tab and turn on Require approval to download in the Downloads card. Approval covers the whole brand page, not single files, so every download from that page waits for your decision.

Your team can always download, even with approval on. That means the workspace owner, an owner who reaches the workspace through a workspace link, and active team members. A suspended team member is not counted as the team, so they need an approved request like any other visitor.

What the visitor sees

Visitors see Request access instead of Download. The request asks for an email address, and a name when they ask to download. A company is optional. The owner of the workspace is emailed once for each new request.

If the same email asks again for the same brand within 24 hours, no new request is added and the owner is not emailed again. One internet connection can send up to 5 requests for one brand in an hour.

Give access or reject a request

  1. Open the brand from Brands and go to its Requests tab. A dot next to the tab name means some requests are pending.

  2. Click the menu at the end of the request's row.

  3. Choose the action that fits the request:

  • Give access on a pending or rejected request. Tarkle emails the visitor a link, and the screen shows "Access given. An email is on its way."

  • Resend access on an approved request. Tarkle emails a fresh link, and the old link stops working.

  • Reject on a pending request. The visitor gets no email.

  • Revoke access on an approved request. It ends the access at once, in every browser that holds the link.

  • Delete removes the request from the list.

A rejected request can be given access later from the same menu. If the email cannot be sent, the request stays approved and the screen shows "Approved, but the email could not be sent".

What the visitor receives for a download request

After you give access, the visitor gets an email with a link. Opening it in their browser unlocks downloads from the brand page in that browser for one year. The link has no end date of its own, and anyone who opens it gets the unlock, so send it only to the person you approved. Revoke access ends the unlock in every browser that holds the link.

View requests

A view request comes from a brand page that is not public, such as a password protected page or a restricted one. The access types are described in Who can open a brand page?. When you give access to a view request, the visitor's email link opens that page in their browser for 30 days, without the password or an assignment. Resending starts the 30 days again. Reject or Revoke access ends the link's access at once. The link does not open downloads that need approval.

A view request approved before this link existed has no link. Click Revoke access on it, then Give access again. To let someone in without a request, you can also share the password or assign the brand to them, as described in How do I share a brand page with a client?

Email and Slack notifications

If Slack is connected to the workspace, a Slack message about each request goes to the channel you chose. Download requests follow the Slack notification for brand page downloads, and view requests follow the one for brand page views. Connect Slack on Integrations.

Troubleshooting

If a visitor sees Too many downloads. Try again later., they have sent a large number of download requests for the same brand within an hour. The limit applies to that visitor and that brand only, so other visitors and other brands are not affected. Wait an hour, then try again.

Next, open a brand's Requests tab and review the pending requests.
