Organizations: group contacts by company

An organization groups the contacts of one company or client so you can manage them together.

An organization is a named company or client that groups several of your contacts, so you can manage them together. This article shows how to create one, who can change it, and how to suspend, export or delete it. To see how contacts and organizations connect, read Contacts and organizations: how they work together.

Create an organization

Organizations belong to a workspace. Open Contacts in the workspace you want, then follow these steps.

  1. Open the Organizations tab.

  2. Click Organization. When the list is empty, the button reads New organization.

  3. In the New organization dialog, enter the Organization name, then the Name and Email of the first person.

  4. Click Create organization.

The first person becomes a contact in your Contacts list and the Owner of the organization. If a contact with that email already exists in the workspace, Tarkle uses that contact. If an organization with the same name already exists in the workspace, the person joins it. Creating an organization does not send an invite email. Tarkle also looks for a logo from the email's domain.

Who can change an organization

In the Organizations list, each row has a menu. The workspace owner and team members with the add and edit contacts permission can open Edit, Suspend and Reopen from it. Team members who can delete contacts also see Delete.

In the client portal, a member with the Owner or admin role can edit the organization's details. Only the Owner can delete the organization from the portal, and must type the organization name to confirm.

Suspend and reopen an organization

  1. In the Organizations list, open the row menu of the organization.

  2. Click Suspend, then click Suspend in the Suspend organization dialog.

Suspending turns off portal access for every member of the organization. A member who opens the client portal sees the Organization suspended screen instead of their files. Each member also gets an email with the subject "Your organization has been suspended", followed by your workspace name. Nothing is deleted, and the organization shows a Suspended badge in the list. To restore access, open the same menu and click Reopen. Members then get an email with the subject "Your organization has been reactivated", followed by your workspace name.

Search, export and delete

On the Organizations tab, type in Search organizations... to filter the list by name. Select organizations to show a bar with Export and Delete selected. Export downloads the selected organizations as a CSV file.

To delete one organization, open its row menu and click Delete. Deleting an organization does not delete its members: they stay in your Contacts list. Deleting one organization cannot be undone.

Plans

Organizations are part of the Pro and Agency plans, and Agency includes everything in Pro. On Free, the Organizations tab shows "Organizations are available on Pro." with an Upgrade button. You can still see existing organizations on Free, but you cannot create or change them. Compare the plans on the pricing page, or read How to upgrade your organization from Free to Pro to move your organization to Pro.
