Storage limit: set how much a contact can upload from their portal

Set the upload storage limit for each contact in the client portal, and see how the limit is counted.

A contact with portal access can upload files from the client portal into your workspace. The Storage limit sets how much each contact may keep uploaded, so you can give a trusted partner more room than a one-off guest. This article explains how the limit is counted and how to set it on the Contacts page.

How the limit works

Every contact has their own limit. Tarkle counts only the files that contact uploaded and that are not deleted. Files you send to them are never counted, and deleting one of their uploads frees that space.

Tarkle creates the folder automatically, named with the contact's name followed by (uploads). It sits at the top level of your library, so you can find it on the Folders page.

Tarkle checks each file when its upload starts. If a file would take the contact over their limit, the upload is refused with the message "This upload is over your storage limit." Files a contact uploads are ordinary library files, so they also count toward your workspace storage. The room a contact has left is the smaller of two numbers: what is left of their limit, and what is left of the workspace storage. Workspace storage comes from your plan, plus any extra storage added to the workspace.

Set the limit for a contact

Owners and team members whose role allows adding and editing contacts can set a contact's limit. Repeat these steps for each contact.

  1. Open Contacts in the sidebar.

  2. Find the contact and open the menu on their row.

  3. Click Storage limit. This item appears only for contacts whose portal access is on.

  4. In the Storage limit dialog, the Limit field shows the limit as it is now. Type the new amount and choose GB or TB. The amount must be greater than zero.

  5. Check Uploaded so far, which shows what the contact has uploaded.

  6. Click Save. Tarkle shows "Storage limit updated".

The new limit applies to the contact's next upload. Turning portal access off keeps the limit saved, so turning it back on uses the same limit. Lowering the limit below what a contact has uploaded keeps their files, but they cannot upload anything new until you raise the limit or delete some of their uploads.

Note: Portal access needs a Pro or Agency plan. Which plan includes the client portal? lists the plans, and Pricing shows what each one costs. A contact whose portal access is off has no portal uploads, so there is no limit to apply. To turn on portal access for a contact, follow How to invite your first client to the client portal.

What the contact sees

On the portal Home page, the Storage card shows how much the contact has uploaded, the percentage of their limit that this uses, and how much of the limit is left. The card reads only the contact's own limit, so it can show space left even when your workspace storage is full.

When no room is left, the Upload button is disabled, and hovering over it shows the out-of-storage message. Room runs out when the contact has used their whole limit or when your workspace storage is full. Tarkle checks the limit again on the server when each upload starts, so an upload cannot get past it.

Contacts in an organization

Each contact keeps their own limit and their own uploads. Setting a limit for one contact does not change another's, and no limit is shared by a group of contacts. To give several people more room, set Storage limit for each of them on the Contacts page. Client organizations group contacts into the company they belong to.

What happens next

After you save, the new limit applies to the contact's next upload. They see the new amount on the Storage card the next time they open the portal Home page.
