How do contacts see boards in the client portal?
A contact with portal access sees the feedback boards shared with them under Feedback, each with a status.
A contact with portal access signs in to the client portal and finds the feedback boards shared with them in the portal sidebar. This page covers which boards appear, what the contact sees on each one, and how each board's status is worked out.
Which boards appear
The Feedback item appears in the portal sidebar only while the contact has at least one live board. A board is live when it is not disabled, has not passed its expiry date and has not been burned. The list includes the boards shared with the contact and the boards shared with the organization they belong to. When a board stops being live, it leaves the list, and when no live board is left, the Feedback item is hidden.
What the contact sees
Each board in the list shows its title, the number of open comment threads or No open comments, a timestamp and its status. Clicking a board opens it. Above the list, three cards show Feedback, Page views and Downloads. Each card shows a count, and the counts cover only the contact's boards.
The statuses
Each board shows one of four statuses. The status comes from the comments on the board. Approve or request-changes decisions are not counted as comments, and replies count toward the thread they belong to.
Action required: a comment thread is open and its latest message was written by someone other than the contact, such as your team or another reviewer.
Waiting for reply: some threads are open and the contact wrote the latest message on every open thread.
No feedback yet: no comment thread has been started on the board.
Resolved: every comment thread is resolved.
Action required takes priority over Waiting for reply. The boards are listed in the order Action required, Waiting for reply, No feedback yet and Resolved. Within each status, the board created most recently comes first. To set a comment's status, read How do I manage comments: statuses, assignees and filters?
Share a board with a contact
Portal access is set for each contact, and the first time it is turned on, the invite email goes out. Contacts are kept per workspace in Contacts. The contact then signs in with a link sent to their email. If they have set up an authenticator or a passkey, they are sent to that second sign-in step before they reach the portal.
For how a board is shared and who can open it, read How do I share a board, and who can see it?
What they do not see
A board shared only with other contacts stays out of this contact's list. Internal comments are left out when the list and the statuses are worked out, so they do not change any status. Boards also stay out of Shared and out of Files in the portal.
Limits
The client portal is included on Pro and Agency, and Agency includes everything in Pro. To compare plans and prices, open pricing.
