How do I manage comments: statuses, assignees and filters?

Set a comment's status, assign it to a teammate and filter the list to see what is still open.

Open a comment on a feedback board to set its status, assign it to a teammate and reply. This page also covers the filters above the comment list and the Activity list. Feedback boards belong to a workspace, so open Feedback and choose the board first.

Set a comment's status

Click a comment in the list to open it. Team members change its status with the Status menu, which has four choices:

  • Active

  • In Progress

  • In Review

  • Resolved

Choosing Resolved also marks the comment as resolved. Everyone else sees the status as plain text.

When a team member changes a comment to a different status, the person who left the comment is emailed. That email is not sent when the comment has no email address on file, or when that person has stopped feedback emails. The email names who made the change and shows an excerpt of the comment. Choosing the status a comment already has sends nothing.

Assign a comment

Open the comment and choose a person in the Assignee menu. The menu lists Unassigned and each member of your team, and only team members can be chosen.

The person you assign is emailed, unless you assign the comment to yourself or the comment is already assigned to that person. Choosing Unassigned sends no email.

Reply to the team only

When a team member writes a reply, the box shows Seen by: with Everyone and Team. Everyone is selected by default. Choose Team to post a reply that only your team can see. It is labelled Team only once posted. The choice does not appear on a top-level comment, which everyone who can open the board can see.

A reply posted under a team-only reply is team-only too, and the box does not offer the choice. Team-only replies are hidden from anyone who is not on your team, and they can tag teammates but not guests.

Filter, sort and search

The filter bar above the comment list narrows the list. It appears once the board has a top-level comment.

  • Status: All statuses, or one status.

  • Assignee: Anyone, Unassigned, or one teammate.

  • Mine: comments you wrote or that are assigned to you. It appears once the page knows your email address.

  • Hide resolved: hides the resolved comments.

  • Oldest first or Newest first. Oldest first is the default.

The counter shows N open. It counts top-level comments that are not resolved, so replies and review answers are not counted.

Use the search box, Search N comments, to find a comment by its text or its author's name. Reset appears once a filter or sort is changed, and clears them all. It does not clear the search box. Pin numbers stay the same when you search or filter.

When someone has commented since your last visit, a banner shows the number of new items and See new activity. That view narrows the list to threads with new activity. Mark all as read appears in that view.

See the activity in Finish review

Open Finish review on the board. The dialog holds a review form and, below it, the Activity list, which shows what people did on the board, newest first. It lists comments, replies, approvals and requests for changes, status changes, assignments, unassignments, resolves, and when the board was created. Team-only replies and the events about them show only to your team. For how a reviewer gives a verdict, see how reviewers approve or request changes.

Limits

Any member of your team can change a comment's status or assignee. Comments and replies cannot be edited or deleted from the board. Only a comment's status and assignee can be changed.

What happens next

Turn on Hide resolved to work through the open comments. For how reviewers leave their comments, see How do reviewers leave feedback?.
