File requests in Tarkle: how to collect files from clients

Create a file request, get its link and receive client uploads in a folder of your workspace.

A file request is a link you send to a client so they can upload files straight into your Tarkle workspace. It is the opposite of a transfer: a transfer sends files to someone, a file request collects files from someone. A request you create from the Requests page is public, so anyone who has the link can upload.

How to create a file request

  1. Open the Requests page. Open Requests in your workspace. Cards for Requests, Page views and Uploads sit above the list.

  2. Click New request in the toolbar, next to the search box. On an empty list, Create request opens the same window.

  3. Enter a Title. Keep it specific, for example "Project assets" or "Campaign materials".

  4. Add a Description that says exactly which files you need.

  5. Choose the Folder for uploaded files. Each request gets its own sub-folder, named after its title, inside the folder you pick. If you choose no folder, uploads go to the File requests folder.

  6. Set a Deadline if you want one. You can pick a date from one day to three years ahead. Click Clear to remove it.

  7. Check the notification box. Send email notifications when files are uploaded is ticked by default. Leave it ticked to get an email when files arrive.

  8. Click the button on the right at the bottom of the window to save. A message says "Request created" and the request appears in the list.

Free allows one active file request at a time. A request is active when it has no deadline or its deadline is still ahead. Closing a request does not free its place: delete the request, or wait until its deadline passes, to create another. When you reach the limit, New request is greyed out. Pro allows unlimited active requests, and Agency includes everything in Pro.

Free also accepts 50 new submissions a month. A submission is the first upload from a new sender email on a request. Once the limit is reached, a new sender gets a message that the workspace has reached its File Request submission limit for this plan. Pro has no monthly submission limit. See plans and pricing to compare the plans.

Get the link to send

The window does not show the link after you save. Open the three-dot menu at the end of the request row instead:

  • Copy URL copies the public link. When the workspace has a custom domain, the link uses it.

  • Copy vanity URL copies a tarkle.page link to the same request.

  • Embed request copies a code snippet for your website. It appears only on public requests, and on Pro and Agency. To paste it on a page, follow Embed a file request on your website.

  • Send by email opens the Send by email window. Add up to 100 email addresses or contact names, then click Send email. Tarkle sends the request link to each address.

  • Upload limit opens the Upload limit window. Enter an amount, choose MB or GB, then click Save. The limit is the most a visitor can upload at once on this request. Leave the field empty for no limit, or click Remove to clear a limit you set.

  • Close request stops new uploads. Open request turns them back on.

  • Edit opens the Edit request window, where you can change the title, description, folder, deadline and notification box.

  • Delete removes the request.

Note: Delete acts at once, without asking you to confirm.

To open a request to one client organization only, see How to limit a file request or transfer to one client organization.

What the client sees

The client opens the link and sees your title and description, with an area that reads Drag and drop here or click to upload. When they drop files, a window asks for their first name and email, which are required, and their last name. They send the files from that window.

If the files add up to more than the request's upload limit, they see a message that says the files are over the upload limit of that size. A request that is closed or past its deadline does not open: its link shows a not-found page.

What happens next

Files from each sender go into a folder named "Uploads from" followed by the sender's name and email. That folder sits inside the request's folder, which is inside the folder you chose.

The person who uploaded gets an email saying the workspace received the files. If the notification box was ticked, the owner of the workspace also gets an email when someone uploads.
